Frequently asked questions
How do I submit my film?
Click the ‘Submit Films' link in the menu to be taken to the registration and submission process. Once you have completed the submission form please print it out , sign it and send it to us with your dvd.
Is there a fee for submissions?
Yes there is. The fee for individual submissions is £20 including VAT and includes the digitisation of the film and its inclusion in the on demand HP Digital Viewing Library available during the festival to all delegates.
Why do I have to submit my details online?
Submitting online enables us to ensure that your films are properly processed and considered. As you submit, the film details are directly sent to our database, avoiding spelling errors, inconsistencies etc, and each film is issued a unique number we use to track its progress through the pre-selection process.
I forgot to print a copy of the online submission form I completed...how do I do this?
A copy of the printable submission form is sent to the primary contact's email address once you have submitted your film online.
I'd like to submit multiple films, how shall I do this? Can I send multiple films on the same DVD?
Providing that each of the films meets the submission criteria you may submit multiple entries by creating an online submission form for each film and sending this to us with a copy of the film on DVD. Please ensure that films are sent on individual DVDs rather than on compilation tapes.
Special rates apply for multiple entries, please contact the festival office for details.
Can I send my stills via email instead of CD?
Stills can be sent via email to info@encounters-festival.org.uk, please ensure that the subject of the email is marked ‘Stills - Add Title of Film and the submission number' Please see Submission guidelines for the format and size. Please note on your printed submission form that stills have been sent by email.
I've realised that the information that I submitted on the online form is incorrect...what should I do?
Please do not start a new submission for the film as this will create a duplicate record on our database. Instead please make a note of the correction by hand on the submission form; we can update our database once the submission has been received.
Should I expect to receive notification from the festival that my submission has been received?
Due to the volume of submissions the festival does not automatically confirm receipt. However you may email the festival office at info@encounters-festival.org.uk with the name of the film, director's name and film ID number for confirmation, 10 days after the submission has been sent.
When will I hear if my film has been selected?
Successful entrants will be notified by the end of August . A list of all work selected will also be posted online.
